Integration
Field Service Software and Accounting: How the Integrations Really Work
The accounting integration is the one that decides whether your books stay clean or you re-type every invoice by hand. It is also the integration people get wrong most often, because the details vary sharply between platforms. Here is the honest landscape.
The one distinction that matters most
QuickBooks Online and QuickBooks Desktop are different products, and field service tools support them differently. This is the single fact that eliminates options fastest. Jobber, Workiz, ServiceM8, Simpro and Tradify sync with the Online version but not Desktop. Housecall Pro, Service Fusion, FieldEdge, ServiceTitan and BuildOps handle Desktop too. If your books run on Desktop, that fact alone removes a chunk of the market, so settle it before you fall for a demo.
Where Xero fits
If you run Xero rather than QuickBooks, your shortlist looks different again. Tools with solid Xero support include FieldPulse, ServiceM8, Simpro, Kickserv and Tradify, while some of the most established US platforms lean QuickBooks-first and support Xero lightly or not at all. Xero users should treat it as a hard requirement and confirm it directly, because a checkmark on a feature grid does not tell you how deep the sync goes.
What a good sync actually moves
A proper accounting integration keeps a few things in step without double entry: customers, invoices, payments and often your product and price list. The value is simple, the same numbers never get typed twice, so the books stay current on their own. Before you switch it on, decide which direction each record flows and where the master copy lives, so you are not editing the same customer in two systems and creating duplicates.
Test it before you trust it
A sync that looks fine on the feature list can still misbehave in practice, duplicate entries and failed syncs are a genuine, commonly reported complaint even on tools that advertise the integration. Push a handful of real invoices and payments through during a free trial and confirm they land in your accounting correctly, mapped to the right accounts, with no duplicates. Verifying it on your own data is the check that saves the most pain later.
